PropEase Terms & Conditions

Last updated: October 13, 2026

These Terms & Conditions (“Terms”) govern access to and use of the PropEase website, mobile applications, software platform, services, features, integrations, APIs, and related services collectively referred to as the “Services.”

PropEase is operated by iMCreate LLC, doing business as PropEase and/or iMCreate Studios (“PropEase,” “we,” “us,” or “our”).

By creating an account, accessing the Services, purchasing a subscription, accepting these Terms electronically, or continuing to use the Services, you agree to these Terms.

If you use PropEase on behalf of a company, property owner, property management company, condominium association, homeowners association, employer, or other organization, you represent that you have authority to bind that organization to these Terms.

1. The PropEase Platform

PropEase provides software for property and portfolio operations.

Depending on the features enabled, PropEase may provide tools relating to:

  • Property and portfolio management
  • Residents and tenants
  • Maintenance requests and work orders
  • Inspections
  • Make-ready and turnover workflows
  • Staff and contractor coordination
  • Work assignments
  • Employee shifts and attendance
  • On-duty location verification
  • Parking, vehicles, visitors, and access
  • Incident reporting
  • Documents, photos, videos, and records
  • Communications and notifications
  • Payments and rent-related integrations
  • Screening integrations
  • Reporting and analytics
  • Automation and artificial intelligence features
  • Third-party integrations

PropEase provides technology and software services.

Unless expressly stated otherwise, PropEase is not a property manager, landlord, real estate broker, bank, lender, payment institution, collection agency, consumer reporting agency, law firm, accounting firm, insurance provider, or employer of customer personnel.

2. Accounts

Users must provide accurate and current information.

Users are responsible for protecting their credentials and for activity conducted through their accounts.

Business customers are responsible for:

  • Assigning appropriate permissions
  • Removing access when personnel leave
  • Controlling administrative privileges
  • Maintaining accurate user information
  • Ensuring authorized use of the Services
  • Notifying PropEase of suspected unauthorized access

Credentials may not be shared for the purpose of avoiding account limits or security controls.

3. Business Customers and Authorized Users

A PropEase customer may invite employees, contractors, residents, tenants, vendors, managers, security personnel, maintenance personnel, and other authorized users.

The relationship between those individuals and the customer remains the responsibility of the customer.

PropEase does not become the employer, landlord, property manager, contractor, or agent of an invited user solely because the Services are used.

Customers may modify or terminate a user's access subject to applicable law.

4. Customer Data

Customers may submit information concerning properties, units, residents, tenants, applicants, employees, contractors, vendors, visitors, vehicles, maintenance, inspections, incidents, payments, documents, photographs, communications, and other business records.

As between PropEase and the customer, the customer retains its rights in Customer Data.

The customer grants PropEase permission to host, transmit, process, organize, secure, back up, and otherwise use Customer Data as reasonably necessary to provide and maintain the Services.

Customers represent that they have the rights, authorizations, permissions, notices, consents, and lawful bases required for information they place into PropEase.

5. Privacy

Our collection and handling of personal information are described in the PropEase Privacy Policy.

Where PropEase processes information on behalf of a business customer, that customer may be the business, controller, employer, or organization responsible for determining why the information is collected.

PropEase may act as a service provider or processor on that customer's behalf where applicable.

6. Employee and Contractor Location Features

Certain PropEase features may allow a customer to use location information in connection with employee or contractor shifts, work assignments, attendance, property visits, job completion, safety, or verification of work activity.

6.1 Customer Responsibility

A customer that activates employee or contractor location functionality represents and warrants that:

  • The customer has a legitimate business purpose for using the feature.
  • The customer will use location information only for lawful business purposes.
  • The customer will provide all notices required by applicable employment and privacy laws.
  • The customer will obtain all consents or authorizations required by applicable law.
  • The customer will not use PropEase to secretly monitor personnel.
  • The customer will not use the location feature to unlawfully discriminate, retaliate, harass, intimidate, or interfere with protected employee rights.
  • The customer will not use PropEase to track a worker outside authorized work activity except where clearly permitted by applicable law and properly disclosed.
  • The customer is responsible for its employment policies and decisions based on information obtained through PropEase.

6.2 Active-Shift Location

Staff location in PropEase is tied to an open shift, and that is not configurable. Collection begins when the worker clocks in and grants the device permission, and ends when the worker clocks out.

While a shift is open, location is collected even when the app is minimized or the screen is off, and the app posts a notification saying so. On Android 13 and later the device lets the worker dismiss that notification; collection continues until the worker clocks out.

A customer cannot extend location collection beyond an open shift, and cannot turn off the notification that discloses it.

6.3 Employee Disclosure

PropEase may display an in-app location disclosure to an employee or contractor before requesting access to device location.

The employee or contractor may also be presented with permission controls provided by Apple, Android, or the device operating system.

Customers may not attempt to bypass these controls.

6.4 No Advertising Use

PropEase does not use employee precise location information for third-party advertising.

6.5 Minimum Necessary Use

Customers should request and use only the level and duration of location information reasonably necessary for the work-related function.

Where approximate or foreground location is sufficient, customers should not require more intrusive tracking.

6.6 Employer Acknowledgment

By enabling employee or contractor location tracking, the customer expressly acknowledges that electronic monitoring and employee-location laws vary by jurisdiction.

The customer accepts responsibility for determining whether its use is lawful and agrees to consult appropriate employment counsel where required.

PropEase does not provide employment-law advice.

7. Location User Consent Notice

Before collecting precise employee location through the mobile application, PropEase may display substantially the following disclosure:

PropEase Location Notice

Your organization has enabled location features for work activity.

PropEase may collect your device location while you have an active shift or location-enabled work session so your organization can verify work activity, assignments, attendance, or your presence at an authorized property or work location.

If your organization has enabled background location, location may continue to be collected while the PropEase app is minimized, closed, or not actively visible during an active location-enabled work session.

Your location may be visible to authorized personnel at your organization.

PropEase does not use your precise work location for third-party advertising.

Location tracking should stop when your applicable shift or location-enabled work session ends.

You can manage device location permission through your device settings. Disabling location may prevent certain work features from functioning.

By selecting Continue, you acknowledge that you have received this notice. Your device will separately ask whether you permit PropEase to access your location.

Customers are responsible for providing any additional employment notice or consent required by law.

8. Residents and Tenants

Property managers and other customers may use PropEase to manage resident and tenant information.

Customers are responsible for complying with applicable:

  • Housing laws
  • Fair housing laws
  • Privacy laws
  • Lease requirements
  • Recordkeeping requirements
  • Consumer protection laws
  • Notice requirements

PropEase does not make independent housing decisions unless expressly stated as part of a specific service.

9. Screening Services

PropEase may permit customers to connect to third-party screening providers.

Unless expressly stated otherwise, PropEase does not create the underlying consumer report and is not the consumer reporting agency supplying the report.

Customers requesting screening information are responsible for obtaining all required authorizations and maintaining a permissible purpose.

Customers are responsible for compliance with the Fair Credit Reporting Act and applicable state laws, including any required pre-adverse-action and adverse-action procedures.

PropEase does not independently decide whether an applicant should be approved or denied.

10. Payments

PropEase may integrate with payment processors, financial institutions, ACH networks, or other financial-service providers.

Those providers may have separate agreements and privacy policies.

PropEase is not a bank.

Customers remain responsible for ensuring payment instructions, rent amounts, fees, deposits, credits, refunds, and other charges are accurate and legally authorized.

11. Artificial Intelligence and Automation

PropEase may provide artificial intelligence, automated summaries, recommendations, classifications, prioritization, reporting, or other automated functionality.

Automated outputs can be incomplete or inaccurate.

Users are responsible for reviewing important information before making significant employment, housing, safety, financial, legal, or operational decisions.

PropEase should not be used as the sole basis for a legally significant housing or employment decision unless such use is specifically designed, disclosed, and legally permitted.

12. Subscriptions and Billing

Certain Services require a paid subscription.

Subscription prices, limits, storage allowances, users, properties, units, or other usage allowances will be shown on the applicable pricing page, checkout screen, order form, or agreement.

Subscriptions may automatically renew according to the billing period selected unless canceled.

Users authorize PropEase and its payment providers to collect applicable subscription charges, taxes, usage fees, and authorized add-ons.

Pricing may change for future billing periods after reasonable notice.

13. Mobile Application Purchases

Purchases made through Apple's App Store or Google Play may also be governed by the applicable platform's terms.

Where Apple or Google processes a purchase, billing, refunds, subscriptions, and payment management may also be subject to that platform's policies.

PropEase does not control Apple or Google's independent billing policies.

14. Cancellation

A customer may cancel according to the options available through the applicable account, subscription provider, App Store, Google Play, or by contacting PropEase where applicable.

Cancellation prevents future renewal but does not automatically erase records.

Account and data deletion are handled separately.

15. Account Deletion

Where PropEase allows users to create accounts, users may request deletion of their accounts.

PropEase provides an account-deletion process through the application and/or its designated account-deletion web page.

Account deletion is different from subscription cancellation.

When an account is deleted, personal information associated solely with that user account will be deleted or de-identified unless retention is reasonably necessary for:

  • Legal obligations
  • Fraud prevention
  • Security
  • Disputes
  • Financial records
  • Contractual obligations
  • Customer-controlled business records
  • Records maintained under another lawful basis

Certain work orders, property records, inspection records, incident reports, lease records, payment history, or similar information may belong to a business customer and may therefore remain in that customer's records even after an individual user's login account is removed.

16. Acceptable Use

Users may not use PropEase to:

  • Violate any law
  • Commit fraud
  • Harass or threaten another person
  • Unlawfully monitor another person
  • Stalk another person
  • Discriminate unlawfully
  • Violate fair housing laws
  • Violate employment rights
  • Obtain information without authorization
  • Circumvent security controls
  • Upload malware
  • Interfere with the Services
  • Impersonate another person
  • Use another person's credentials without permission
  • Upload material that violates intellectual-property or privacy rights
  • Conduct unauthorized surveillance
  • Use location information for unlawful purposes
  • Use automated features to make prohibited discriminatory decisions

PropEase may suspend activities that create security, privacy, legal, fraud, or operational risk.

17. Third-Party Services

PropEase may integrate with third-party providers including authentication, payment, cloud hosting, mapping, communications, screening, storage, and analytics providers.

Third-party providers operate under their own terms and policies.

PropEase is not responsible for their independent acts or services.

18. Security

PropEase uses reasonable administrative, technical, and organizational safeguards intended to protect information.

However, no internet-connected service can guarantee absolute security.

Customers are responsible for maintaining appropriate account permissions and security practices.

19. Intellectual Property

PropEase and its licensors retain all intellectual-property rights in the Services, including software, source code, designs, workflows, interfaces, documentation, trademarks, logos, and proprietary technology.

These Terms provide a limited right to use the Services and do not transfer ownership.

20. Feedback

If you provide feedback or suggestions, you permit PropEase to use them to develop and improve its products without compensation or restriction.

We will not publicly identify you as the source without permission.

21. Availability

PropEase does not guarantee uninterrupted availability.

Services may occasionally be unavailable because of maintenance, updates, security issues, third-party outages, network failures, emergencies, or other conditions.

22. Disclaimer

TO THE MAXIMUM EXTENT PERMITTED BY LAW, THE SERVICES ARE PROVIDED “AS IS” AND “AS AVAILABLE.”

PROPEASE DOES NOT GUARANTEE THAT THE SERVICES WILL BE ERROR-FREE, UNINTERRUPTED, OR APPROPRIATE FOR EVERY CUSTOMER'S PARTICULAR LEGAL, EMPLOYMENT, HOUSING, ACCOUNTING, OR BUSINESS REQUIREMENTS.

PROPEASE DOES NOT PROVIDE LEGAL, EMPLOYMENT, TAX, ACCOUNTING, REAL ESTATE, INSURANCE, OR FINANCIAL ADVICE.

23. Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW, PROPEASE AND ITS AFFILIATES, OFFICERS, EMPLOYEES, CONTRACTORS, AND SERVICE PROVIDERS WILL NOT BE LIABLE FOR INDIRECT, INCIDENTAL, SPECIAL, EXEMPLARY, PUNITIVE, OR CONSEQUENTIAL DAMAGES, OR LOSS OF PROFITS, REVENUE, DATA, GOODWILL, OR BUSINESS OPPORTUNITY.

TO THE MAXIMUM EXTENT PERMITTED BY LAW, PROPEASE'S TOTAL LIABILITY ARISING FROM THE SERVICES WILL NOT EXCEED THE AMOUNT PAID TO PROPEASE BY THE APPLICABLE CUSTOMER DURING THE TWELVE MONTHS PRECEDING THE EVENT GIVING RISE TO THE CLAIM.

These limitations apply only to the extent permitted by applicable law.

24. Indemnification

To the extent permitted by law, business customers agree to defend, indemnify, and hold harmless PropEase and its affiliates from third-party claims arising from:

  • Customer Data supplied by the customer
  • The customer's employment practices
  • The customer's employee-monitoring activities
  • The customer's use of location information
  • The customer's housing or leasing decisions
  • The customer's payment instructions
  • The customer's violation of law
  • The customer's violation of third-party rights
  • Unauthorized or improper use of the Services

25. Suspension and Termination

PropEase may suspend or terminate access when reasonably necessary because of:

  • Material violation of these Terms
  • Nonpayment
  • Fraud
  • Unauthorized access
  • Security risk
  • Unlawful activity
  • Privacy violations
  • Misuse of location monitoring
  • Material risk to customers or the Services
  • Legal or regulatory requirements

Where reasonably appropriate, PropEase may provide an opportunity to correct the issue.

26. Governing Law

Unless applicable law requires otherwise, these Terms are governed by the laws of the State of New Jersey, without regard to conflict-of-law principles.

Any dispute not governed by another written customer agreement will be brought in a court of competent jurisdiction in New Jersey.

This provision does not remove rights that applicable consumer, employment, privacy, or other laws do not permit users to waive.

27. Changes

We may update these Terms as the Services, technology, business practices, or legal requirements change.

We will update the Last Updated date.

Material changes may also be communicated by email, in-app notice, account notification, or another appropriate method.
